Quick Summary: The Team Certifications page gives managers a consolidated view of every certification assigned to their team members. From here you can monitor submission status, track expirations, review pending approvals, and export data for reporting.

Overview

The Team Certifications page displays all certifications assigned to people in your reporting structure. Each row represents one person-certification combination, showing the team member’s name alongside the certification details, current status, expiration date, and any attached files. This page is your primary tool for monitoring certification compliance across your team. You can quickly identify which team members have certifications awaiting your approval, which certifications are expiring soon, and which team members have not yet submitted their certification details. The page is accessible to managers and administrators. Managers see certifications for their direct reports and organizational hierarchy. Administrators can also view all certifications across the entire company.
Note: This page shows certifications assigned to your team members. For managing your own personal certifications, see Managing Certifications.

Navigating to Team Certifications

To open the team certifications view select Certifications from the Team section of the left sidebar. The page opens in the Direct Reports view by default, showing certifications for your immediate direct reports.

Switching Between Views

Three scope buttons at the top of the page control which certifications are displayed, alongside an Approvals button that opens your Inbox: Select a button to switch views. The active view is highlighted.
Note: The All tab is only visible to administrators. If you do not see it, your role does not have company-wide certification visibility.

Understanding the Certifications Table

The table displays one row per person-certification combination. The following columns are visible by default: Additional columns (hidden by default, enable via the Display button): To show or hide columns, select the Display button in the top right of the page.

Understanding Certification Statuses

Each certification has a status that reflects where it is in the submission and review process.

Reviewing and Approving Certifications

When a team member submits their certification details, the status changes to Awaiting Approval. You can review and approve or deny the submission. To review a pending certification:
  1. Select Certifications from the Team section of the left sidebar.
  2. Use the Status filter to show only Awaiting Approval certifications, or select Approvals to go to your Inbox.
  3. Select the row of the certification you want to review. This opens the certification detail page.
  4. Review the submitted details — issued date, expiration date, credential ID, and any attached documents.
  5. Select Approve to accept the submission, or Reject to return it to the team member for corrections.
When you approve a certification, its status changes to Approved and the team member receives a notification. When you reject it, the status changes to Denied and the team member can resubmit with updated information.
Tip: Select Approvals in the top filter bar to go directly to your Inbox, where all pending certification approvals are consolidated alongside other approval requests.

Filtering Your Team’s Certifications

Use filters to narrow the table to a specific subset of certifications. Select Filter in the toolbar to open the filter builder. Available filters include: Filters can be combined using AND/OR logic. Select Reset to clear all active filters.
Tip: Filter by Status = Awaiting Approval to see all certifications that need your review. Filter by Expires = Soon to identify certifications approaching their expiration date within the next month.

Exporting Certification Data

You can export the current table view to Excel for reporting, compliance audits, or record-keeping. To export:
  1. Select Export in the top right of the page.
SkillsDB downloads an Excel file containing all rows currently visible in the table, respecting any active filters and the selected view (Direct Reports, My Org, or All).

Importing Certifications

Administrators can bulk-import certification assignments using the Import button. To import certifications:
  1. Select Import in the top right of the page.
  2. SkillsDB navigates to the Import page where you can upload a formatted file to assign certifications in bulk.
Note: The Import button is only visible to Global Administrators. Other managers and administrators do not see this option.

Common Questions

My Certifications (under Profile > Certifications) shows certifications assigned to you personally. Team Certifications (under Team > Certifications) shows certifications assigned to your team members. Managers use the Team view to monitor compliance, review submissions, and approve certifications for their reports.
No. Certification assignments are managed from the individual team member’s profile or through bulk import. Navigate to Team > People, select a team member, and use their Certifications tab to assign new certifications. Administrators can also use the Import button to assign certifications in bulk.
The All tab is restricted to administrators. It provides company-wide visibility across all certifications, not limited to your reporting structure. If you need access, contact your SkillsDB administrator.
Use the Approvals button to go to your Inbox where pending certification approvals are listed. You can also filter the table by Status = Awaiting Approval to see all certifications waiting for your review. The sidebar badge on Certifications under the Team section shows the count of certifications needing attention.
Managers can approve certifications for their direct reports. Administrators can approve certifications for any person in the organization. If a certification is assigned to someone outside your reporting structure, you will not have approval rights.
The Expires column shows the certification’s expiration date with a visual indicator. Expired certifications show a red indicator. Certifications expiring soon show an amber indicator. Certifications without an expiration date leave this column blank.
The export includes all visible columns based on your current Display settings. Hidden columns are not included in the export. Adjust your column visibility before exporting if you need additional fields like Employee ID, Department, or Manager.
